Tables or Databases?

In this issue, we look at when databases and when tables enhance your knowledge work.

To successfully share your knowledge, it's not just what you document that matters, but also how you do it.

Sometimes, a simple table is exactly what your readers need: clear, focused, and easy to scan. Other times, a database does the heavy lifting for you, keeping information consistent, connected, and up to date as it evolves.

Choosing the right format makes the difference between content that’s merely written and knowledge that’s actually used.

So how do you decide?

When it’s Table-Time

Tables shine best when you want to present a snapshot of information that’s easy to compare or reference. That could be campaign overviews, team directories, or product launch checklists. With just a few columns and rows, you can help your readers find what they need at a glance.

Tables are also quick to set up, flexible to format, and perfect for static or semi-static data. You can tweak the layout in seconds to make it fit your page.

When Database Depth Counts

Databases come into play when information doesn’t stand still. They’re built for data that changes, grows, or needs to show up in more than one place. Instead of copying the same table across pages, you update an entry once and see it reflected everywhere.

Databases let you filter, sort, and link information across the Teamwork Collection.

Whether you’re tracking assets, managing inventories, or maintaining a directory that needs to stay current, databases keep everything organized and connected without constant manual cleanup.

Although there are certainly situations where it’s clear that you need one or the other, there are also plenty of moments where the choice isn’t that obvious. To help you decide, we’ve put together a quick cheat sheet showing when to use which option.
